Download TRACES PDF Generation Utility

Deductor can download TDS Certificate (Form 16 (Part A) and Form 16A) from TRACES. The file will be provided in text format and will contain certificate details for all requested PANs. Text file is password protected and password will be ‘<TAN>’.

Deductor will have to convert the text file into PDF using TRACES PDF Generation Utility. This utility will convert the text file into individual PDFs for each PAN. The same utility can be used to convert text file for Form 16 / 16A.

Procedure to install TRACES PDF Generation Utility
  • Download the PDF Generation Utility by logging in to TRACES. Click on ‘Requested Downloads’ under ‘Downloads’ menu then click on ‘TRACES PDF Generation Utility’ link
  • Unzip and save the utility on your desktop
  • Double-click on the utility (exe) and click on ‘Run’
  • Utility will be installed on your desktop

Procedure to convert text file into PDF
  • Open the utility from your desktop and select the text file
  • Select the digital signature to digitally sign the Form 16 / 16A
  • Generate PDFs
  • If PDF is not digitally signed, deductor should manually sign the printed Form 16 / 16A before sending it to Tax Payers

Notes:

  • TRACES PDF Generation Utility should be used to convert text file for Form 16 / 16A into individual PDFs
  • Download the utility and install it on your desktop
  • Pass the text file through the utility to generate PDFs for individual PANs
  • You can opt for manual / digital signature for the PDFs
  • File name for Form 16 / 16A text file will be as mentioned below. TAN will be masked
    • Form 16 – <TAN>_Form16_<FY>, e.g., ABCxxxxx5E_Form16_2012-13.zip
    • Form 16A – <TAN>_Form16A_<FY>_<Qtr>, e.g., ABCxxxxx5E_Form16A_2012-13_Q2.zip
  • Password for Form 16 / 16A text file is TAN of deductor. Enter password to open file
  • File name for individual PDF files will be as mentioned below. PAN will be masked
    • Form 16 – Form16_<FY>_<PAN>, e.g., Form16_2012-13_ABCxxxxx4F
    • Form 16A – Form16A_<FY>_<Qtr>_<PAN>, e.g., Form16A_2012-13_Q2_ABCxxxxx4F

PDF Document Format PDF Converter

The PDF format, or Portable Document Format file, was developed by Adobe Systems. PDF files are popular because they can be easily viewed and edited in a variety of computing platforms. Word documents can easily be exported or converted to PDF, and both presentations and images are also often saved out as a PDF file. Typically, PDF files are not created from scratch, but rather existing file types are converted into PDF format to allow the file to be easily shared and accessed.

TXT Document Format TXT Converter

A TXT file also goes by the name of a Plain Text File and are widely used. TXT files contain only text and unlike other document file types like the DOC they do not contain images or other multimedia.

Part of their appeal is that they can be opened on almost any device and on any OS. Microsoft and Apple both have in built text editor applications called Notepad and TextEdit respectively and are often used to create the TXT files. In Office applications, you can save or convert files to PDF for sharing or printing. No additional software or add-ons are required.

Use PDF format if you want the file to meet the following conditions:

  • The

    file should look the same on most computers;

  • the file must be smaller;

  • requires industry standard compatibility.

Examples include resumes, legal documents, newsletters, readable (non-editable) and printable files, and professional print files.

Important: Many programs, including Microsoft Word, can open and edit PDF files. Simply sharing a PDF file is not enough to prevent the recipient from editing the file.

Formatting Tips

Project does not support all possible formatting features for PDF or XPS documents, but you can use some print options to change the appearance of the final document.

Select file > print and then change any of the following options:

  • dates;

  • orientation;

  • paper size;

  • page settings.

In the "Page Setup" dialog box, you can change the settings on the following tabs:

  • "Fields",

  • "Legend",

  • "View".

    • Make any necessary changes to the image resolution and non-printing information.

    • Select print settings to make changes to the print settings of the document.

    • When complete, press the "OK" button.

  6. If you want the file to be opened in the selected format after saving, select the "Open file " after posting .

  7. Press the Save button .

    To view the Save As dialog box in Visio Visio 2016, you must select a location and folder.

  3. In field "File name ", enter a file name if you have not already done so.

  4. In the "Save as type " list, select PDF (*.pdf).

    • If you want the file to be opened in the selected format after saving, select the "Automatically view file" checkbox after saving.

    • If the document requires high print quality, select " Standard" (web publishing and printing).

    • If file size is more important than print quality, select minimum size (web publishing).

  5. Select " Options" to set the page to print, choose whether to print markup, and select output options. Press "OK" button .

  6. Press the Save button .

  1. If the file was previously saved, select > "Save a copy" .
    If the file is not saved, select "File > save as" .

  2. Click the Browse button to select the location on your computer where you want to save the file.

  3. Select PDF file from the drop-down list.

  4. Press button Save .

Select advanced options > options to customize the PDF file.

  • To create a PDF file on only some pages of the document, select an option in section "Page range" .

  • To include tracked changes in the PDF, under Publish What, select Markup Document . Otherwise, make sure that the document is selected.

  • To create a set of bookmarks in a PDF file, select "Create bookmarks" . Then select "Headings" or, if you've added bookmarks to your document, Word Bookmarks .

  • If you want to include Document Properties in the PDF, make sure Document Properties is selected.

  • To make your document easier to read by screen reader software, select document structure tags for accessibility .

  • Compliance with ISO 19005-1 (PDF/A) This option causes a PDF document to be created using the 1.7 PDF archiving standard. The PDF/A standard ensures that a document will look exactly the same when opened on another computer.

  • Bitmap text if fonts can't be embedded If it's not possible to embed fonts in the document, a bitmap of text is used when creating a PDF file to make the PDF document look the same as the original. If this option is not selected and the file uses a non-embedded font, the PDF reader may use a different font.

  • Encrypt document with password Select this option to restrict access to the PDF file to people who do not have a password. When you click the OK button, Word will open the Encrypt PDF document box where you can enter and re-enter your password.

Opening a PDF file in Word and copying content from it

You can copy the desired content from a PDF document by opening it in Word.

Navigate to file > open and go to PDF file. Word will open the PDF in a new file. You can copy the content you want, including images and diagrams.

To save a PDF file in Office for Mac, follow these simple steps:

  1. Select "File".

  2. Press the "Save As" button.

  3. Select file format at the bottom of the window.

  4. Select PDF from the list of available file formats.

  5. Give the file a name, if it doesn't already have one, click the " Export" button.

Note: When using print-friendly , hyperlinks may not convert correctly. This is a known issue in Word for Mac.

Important:

  • When using Web Service , you can only use a font for which Microsoft has legal rights. If the documentation contains a custom font, it will be replaced and may cause problems. This can be avoided by embedding fonts in the document.

  • Some fonts cannot be saved in the presentation

You can use Word, PowerPoint, and OneNote for the web to convert a document to a PDF file.

  1. Select File > Print > Print (In PowerPoint, you'll choose one of three formats).

  2. From the Printer drop-down menu, select Save as PDF and then Save .

  3. You can then use the browser menu that opens to name the PDF file and choose where to save it, and then select "Save" .

This will create a regular PDF file that retains the layout and formatting of the original document.

If you need more control over PDF options, such as adding bookmarks, use the desktop application to convert your document to PDF. Select " Open in Desktop Application" from the toolbar of PowerPoint and OneNote to start using the desktop application, and then in Word, select the "Editing" drop-down box, and then click the "Open in Desktop Application 9" button0026" .
